Despite budgetary pressures, Canadian organizations are ramping up investments in project management (PM) software, particularly for AI features that promise efficiency gains. Capterra’s 2025 Project Management Software Trends Survey, based on responses from over 2,500 global project managers including 227 from Canada, indicates that AI prompted a new PM software purchase for 57% of Canadian respondents in the past year.
In an era of economic uncertainty, including U.S. tariff threats, Canadian firms are leaning on AI to stretch limited resources. Over half anticipate budget limitations as their primary hurdle, yet they're investing in PM tools to automate tasks and provide predictive insights, compensating for staffing shortages and accelerating timelines.
“PM software is one of the most used tools in the workplace today, so it stands to reason that advancements to these platforms can have a significant impact on Canadian workers,” says David Jani, senior analyst at Capterra. “As projects grow in complexity and teams are asked to do more with less, AI-powered tools help manage workloads, compensate for limited staffing, and keep projects on track.“
With PM platforms handling sensitive data like budgets and contracts, cybersecurity is non-negotiable. The survey highlights that 40% of recent switches were security-driven, and 67% deem it essential during evaluations, as AI expansions heighten risks from cybercriminals targeting collaboration tools.
While 57% adopted AI-enabled software recently, realizing ROI remains elusive for many. Integration into workflows tops challenges at 42%, surpassing other nations, while 37% report skill gaps. These issues underscore the need for training and configuration to avoid underutilization of promising features.
AI excels at automation but falters on human factors like conflict resolution and communication. Consequently, 53% of Canadian PMs have amplified emotional intelligence practices post-AI adoption, fostering better team collaboration and relationships essential for project triumphs.
Capterra's findings signal a pivot in PM software from basic task tracking to adaptive, AI-enhanced ecosystems that balance efficiency with human oversight. As Canadian organizations navigate fiscal tightness, prioritizing secure, integrable AI tools will be key to unlocking productivity without exacerbating skill divides.
